02. About the event
Thank you for being part of the International Safety Awards 2026 Conference and Dinner — the British Safety Council’s flagship India event. This is a full-day occasion bringing together senior safety professionals, industry leaders and award-winning organisations from across the country.
Two key parts of the day
Conference — leadership, safety culture, AI, process safety and psychological safety, with keynote sessions, panels and breakout rooms
Awards dinner — Pass, Merit, Distinction, Sector and Region recognition, plus live music, networking and dinner
Important note
The footage from this event will be used across BSC India’s channels for a full 12-month cycle, through to ISA 2027 — in social media, award winner reels, event highlights, press coverage and promotional campaigns.

Videographers should check in with the BSC India event lead on arrival for a walk-through of all spaces, camera positions and cable runs. Please do not begin setting up until this walk-through has taken place.
05. Equipment requirements
Mandatory
  • Gimbal stabiliser — required for all handheld movement; no handheld footage without a gimbal
  • Lapel microphone — for all video byte interviews
  • Directional / shotgun microphone — for stage and hall audio capture
  • Spare batteries — minimum two full spare sets per camera
  • Sufficient memory cards — for continuous full-day recording
Recommended
  • Wide-angle lens — establishing shots and room scale
  • Telephoto lens — tight award presentation cuts
  • Portable LED panel — for video bytes if ambient light is insufficient
  • Headphones — for monitoring audio quality during interviews
06. Orientation and format requirements
Unlike previous years, footage from ISA 2026 will be edited into both horizontal and vertical cuts for use across platforms. The team must be intentional about orientation from the moment recording begins.
Horizontal (16:9) — Primary format

Vertical (9:16) — Social media format
  • Video bytes in the pre-function area
  • Award winner reaction moments
  • Networking and atmosphere
  • Trophy close-up detail
  • Speaker highlight clips for Reels / Shorts
Framing note for vertical: keep subjects centred with sufficient headroom. Captions and text overlays will be added in post-production, so avoid placing key action in the top and bottom thirds.
07. Footage requirements — conference
Venue and set-up (before delegates arrive)
These establishing shots set the scene for any highlight edit and give the post-production team strong opening and transition material.
  • Conference hall — wide establishing shots from multiple angles
  • Stage and podium — front-on and three-quarter slow pans
  • BSC branding — banners, signage, AV screens, table collateral and trophy's
  • Registration desk — empty and in operation
  • Breakout rooms — set-up before delegates enter
Registrations (09:00 – 10:00)
  • Delegates arriving and registering — natural movement, not staged
  • BSC team and volunteers at the desk
  • Lobby atmosphere — groups forming, conversations beginning
Conference sessions
This is the footage most likely to be used in thought leadership edits, speaker highlight reels and post-event press coverage.
  • Opening wide shot of each session — room scale, speaker at podium, audience visible
  • Conference Full Video of each session — room scale, speaker at podium, audience visible
  • Speaker close-up — mid-speech, gesturing, animated
  • Audience reaction — note-taking, nodding, genuine engagement
  • Panel discussions — capture the exchange, not just the moderator

Lunch and breaks
  • Networking conversations — candid, moving shots using the gimbal
  • Food and venue — slow atmospheric pans
  • BSC senior leadership in informal conversation with delegates

09. Video bytes — pre-function area
Video bytes are short, direct-to-camera interviews recorded against the BSC backdrop. They are some of the most-used video assets across the year.
Setup
  • Position: against the BSC branded backdrop
  • Camera: vertical 9:16 as primary format
  • Audio: lapel mic fitted and tested before every byte
  • Lighting: use LED panel if ambient light is insufficient
  • Stabilisation: tripod or gimbal only — no handheld
During the byte
  • Frame the subject from mid-chest upwards
  • Ask the subject to state their name and organisation at the start
  • Keep each byte to 60–90 seconds
  • If a subject stumbles, keep recording
  • Coordinate prompt questions with the Videographer Liaison
Primary window for bytes: 17:30 – 18:30 during the networking break. Videographer B should prioritise this window.
10. Footage requirements — awards evening
Awards presentations — Pass and Merit (15:00 – 17:30)
For each presenting organisation, we need a clean, complete recording of the award moment.
Required sequence:
  • Announcement — MC at podium as winner's name is called
  • Walk to stage — MC, presenter and winner approaching the stage
  • Trophy handover — trophy clearly in frame, both faces visible
  • Trophy hold — hold for at least 3 seconds
  • Stage exit — wider transition shot
Awards presentations — Distinction, Sector and Region (18:45 – 20:30)
  • Follow the same sequence as above
  • For group awards, ensure the full group is in frame
  • Capture clean close-ups of Peter McGettrick and Hemant Sethi presenting
  • Winner facial expressions — genuine emotion matters most
  • Trophy close-up — smooth gimbal-assisted zoom or push after handover
Networking break (17:30 – 18:30)
This is the most energetic part of the evening and typically produces the most shareable social content.
  • Guests arriving into the pre-function area
  • Video bytes against the BSC backdrop — primary priority for Videographer B
  • Live band — Doctor J Collective, both horizontal and vertical
  • Bar area and groups in conversation
  • Photobooth activity — candid clips of guests engaging
Dinner (20:45 – 22:30)
  • Dinner atmosphere — slow, gimbal-assisted table pans
  • Live band — performance clips and crowd reaction
  • Dancing and celebration — candid, energetic, vertical-friendly
  • Closing remarks by Hemant Sethi — clean podium recording
  • Final room atmosphere — slow wide pull-back to close the evening
11. Trophy footage (ISA, Sword, Globe, Shield and Guardian)
The trophy is the central visual symbol of this event and will feature prominently in highlight edits and winner content throughout 2026–27.
Dedicated trophy shots — before presentations begin
  • Slow gimbal push-in from wide to close
  • 360-degree orbit — low and slow
  • Vertical detail move — base-to-top tilt in 9:16
  • Group of trophies on the desk — wide establishing pull-back
During award moments
  • Trophy must be in sharp focus during handover
  • Hold on the trophy for at least 3 seconds after handover
  • For social edits, a clean 5-second trophy close-up per winner is highly valuable
12. Quality standards
Technical requirements
  • All moving shots must use the gimbal
  • Clean, separately recorded audio for speeches and bytes
  • Manual exposure settings — do not blow out faces
  • Manual white balance at each location change
  • Rough cut selects within 5 working days; full edited deliverables within 10 working days
Movement and framing
  • Slow, deliberate, purposeful movement
  • Avoid unnecessary zooming
  • Keep both presenter and recipient in frame during handover
  • Do not let backs of heads dominate frame
  • Horizontal: leave space for editing flexibility
  • Vertical: centre the subject, keep key action out of top and bottom thirds
Approach and conduct: move quietly and unobtrusively, do not request re-dos from speakers or award recipients, and coordinate closely with the event team on cues and positioning.

A note from the team
The International Safety Awards exist to recognise organisations that have made workplaces safer for the people in them.
